Example Expenses Policy

We like the simple style of this Volunteer Expenses Policy from University of East Anglia (UEA) Volunteers.

Please note: please bear in mind that this policy has been created for a specific organisation in a specific context, and should therefore be used as a guide rather than adopted wholesale. For further information, please visit our 'top tips on using the Good Practice Bank'.

The UEA Volunteers Service offers opportunities for students, recent graduates and staff to volunteer in the local community. They manage their own projects and place individuals with local organisations in need of volunteers. When offering a 'brokerage' service to match volunteers with organisations, it's important to make it clear who is responsible for different aspects of your relationship with volunteers. We like the way in which UEA Volunteers breaks down the three ways in which expenses might be reimbursed.

The policy also encourages volunteers to claim their expenses regularly and sets reasonable limits on expense claims, for example in asking volunteers to use public tranport wherever possible. Many volunteer policies include similar provisions, and we think UEA Volunteers has found a simple and polite way of putting this across.
